One of the major frustrations I see with the people I work with is too many projects get started, but  they’re never finished. I know that you want your projects to move quickly and get to completion and I bet I know some of the reasons this often doesn’t happen in your business.

When people come to me they often tell me their projects never get done and they’re really annoyed that nothing ever seems to be finished. I know that you hate it when this happens and you would like to find a way for projects to be completed and completed quickly.

The issue is that too often we and by we I mean I am a great lover of bright shiny objects. Starting projects is fun. Taking them to completion is lots of work. For you to get past this, you’re going to need a system for doing projects. And, that’s what this week’s video is all about.

You know, one of the major frustrations that I see with people I work with is too many projects get started, but they’re never finished. I know that you want your projects to move quickly and get to completion, and I bet I know some of the reasons this often doesn’t happen in your business.

You know, when people come to me, they often tell me their projects never get done and they’re really annoyed that nothing ever seems to be finished. I know that you hate it when this happens and you would like to find a way for projects to be completed and completed quickly.

You know, the issue is that too often, we, and by we, I mean I am a great lover of what I call bright, shiny objects. It gets me distracted off of what I would be doing, so instead of working on a few number of projects, I ended up working on a whole bunch of them at once, and the truth is starting projects is fun. Taking it to completion is lots of work, and for you to get past this, you’re going to need a system for doing projects, and that’s what this week’s video is all about.

So let’s get started.

  1. Number one, I bet if you were to take a look at the open projects you have on your desk right now, you have at least five to 10, if not 20 to 30 open projects on your desk.
  2. That’s the problem. You see, here’s the issue is we all think we can get more done than we really can. We have all these projects open and we need to get all of them done we think, and what happens is we work a little bit on this one or a little bit on that one, and we forget to talk about the fact that we actually have a business to run, and we have to work on that business, and projects generally are strategic activities which directly don’t affect our business today, but will affect our businesses tomorrow, and we just don’t have enough time to work on 10 to 15 to 20 problems.
  3. The other thing is we all think we can get more done than we really can. I always see this inflation. When I do a financial plan for someone, I always see that people overestimate their income and underestimate their expenses. We like to think we can get more done and we can be more active than we really can.
  4. Now, when you have 10 projects, you can’t focus. In fact, you’re gonna be frozen and do nothing. I don’t know about you, when you go into the grocery store, have you ever noticed there might be 20 or 30 or 40 of the item that you’re thinking about buying? You sit there and you scratch your head and you look back and forth and you keep looking back and forth, and if you’re like me, a lot of times, you’ll walk away ended up buying nothing because you’re just confused about what you want to do. Well, it’s the same thing with your projects.
  5. When you have lots and lots of open projects you’re working on, you’re gonna stare at them and try to figure out which ones should I do something about next? But if you only do one project at a time, I know this sounds counterintuitive, I know it’s not something you want to do, I know you want to be working on more than one project at a time, but if you work on one project at a time, what you’re gonna find is you’re actually gonna get that project done and you’re gonna get it done quickly. Now, you might say, you know, Josh, there’s no way in the world I can only do one project at a time. Okay, if you must do two, but do not do more than two projects at a time because if you try to do it, none of them are gonna get done. Remember, we don’t have unlimited amount of time to work on our projects. We have a limited amount of time, so we have to use that time in the most effective and efficient way, and that’s getting one project at a time done.
  6. So before you start a new project, get to done/done with what you’re working on right now. Now, done/done is a thing I learned from a guy a long time ago, and what that particularly means is too often, we get to like 80%, 85% of our project, and then we say we’re done and we move on, but we’re really not done, and that project stays open, and then we open another project and we get there, and before we know it, we have six or seven projects that aren’t done. We think that we’re done, but they’re not completely done, so you want to get to completely done.

So here are three things that I want you to do.

  1. First, list all the projects you want to do. This is your backlog. This is your backlog for things that you want to get accomplished in your company, and this can be 20, 30, 40, it could be 100 things on your list. I don’t really care how long this list is, but I want you to list everything that you would like to see as a project being done in your company and understand you’re not working on all of this. It’s just what we’re starting. It’s your backlog.
  2. Then you choose one project, and only one, out of your list that you think will provide the best results for the least amount of effort. Now, my definition of best results for the least amount of effort means something that’s relatively easy to do and has a high financial return for you.
  3. Number three, I want you to focus on that one project until you reach done/done.

If you don’t slow down, your projects are gonna continue to drag out and mostly not get finished. Everything you’re working on will be late and over budget. It’ll be frustrating, and you’re just gonna want to give up.

On the other hand, if you do these three things, you’ll find that your projects get completed faster than you ever thought possible, you’ll get more completion by slowing down your expectations, eventually, and sooner than you thought, you’ll be getting more accomplished than you ever thought possible.
